Privacy policy

This policy explains what personal data Foreva Farmers collects when you visit forevafarmers.com, buy from us, sign up to our emails, take part in Drink Free with Foreva or contact us, what we do with it, and your rights. We have kept it as short and plain as we can.

1. Who we are

Foreva Farmers Ltd (company number 13761036), The Court, Rectory Road, Hampton Bishop, Hereford HR1 4JU, is the controller of your personal data. Questions or requests: email hello@forevafarmers.com or write to us at the address above.

2. What we collect

  • Contact and delivery details: name, email, phone, billing and delivery address.
  • Order details: what you buy, order history, returns, refunds and subscription (Stock & Save) details.
  • Payment details: handled by our payment providers. We never see or store your full card number.
  • Account details: if you create an account, your login and preferences. Trade customers also give us business name, VAT number and trading details.
  • Marketing details: whether you have signed up to our emails or texts, and how you interact with them (for example opens and clicks).
  • Drink Free with Foreva: your referral code and link, the friends who sign up through it, their sign-up and order status, your count, rewards and leaderboard position. If you win a prize we may ask for a delivery address or other details needed to give it to you.
  • Reviews and messages: reviews you leave and anything you send us by email, chat or social media.
  • Website and device data: IP address, browser, device, pages viewed and how you arrived, collected through cookies and similar tools (see section 7).

3. Why we use it and our lawful basis

  • To take, deliver and support your orders and subscriptions (performance of a contract with you).
  • To run Drink Free with Foreva, including checking that friends are real and new, preventing misuse, crediting rewards and choosing and contacting winners (performance of the promotion terms you accept, and our legitimate interest in running a fair promotion).
  • To send marketing emails and texts (your consent, which you can withdraw at any time using the unsubscribe link or by contacting us). If you have bought from us we may email you about similar products unless you opt out.
  • To show you relevant ads and measure them (your consent, given through our cookie banner).
  • To run and improve our website, prevent fraud and keep our systems secure (our legitimate interests).
  • To keep accounting and tax records and meet other legal duties (legal obligation).

We do not sell your personal data. We do not make decisions about you that have legal or similarly significant effects based solely on automated processing. Drink Free with Foreva uses automated checks to decide whether a friend counts, and you can ask us to review any decision by emailing us.

4. If a friend referred you

If you signed up through a friend's Drink Free link, we tell your friend that someone they referred has joined and, if you order, that their count has gone up. We show your first name only (for example "Sam joined"), never your email address or what you bought. Leaderboards show first name and last initial.

5. Who we share it with

We share personal data only with companies that help us run our business, under contracts that require them to protect it and use it only on our instructions. They include:

  • Shopify (our online store and checkout) and our payment providers.
  • Klaviyo (emails, texts and reviews), and Judge.me (reviews).
  • Kaching (Stock & Save subscriptions).
  • Delivery companies such as APC and DPD, and our shipping software, to get your order to you.
  • Get The Drinks In, our contract packer and warehouse on the farm, to pack and dispatch orders.
  • Google and Microsoft (business email, documents and the system that runs Drink Free with Foreva).
  • Advertising and analytics partners such as Google, Meta (Facebook and Instagram) and LinkedIn, only where you allow marketing or analytics cookies.
  • Our accountants and accounting software (Xero and A2X), and professional advisers.
  • Marketplaces such as Amazon or TikTok Shop, if you buy from us there (their own privacy policies also apply).

We may also share data if the law requires it, to protect our rights or prevent fraud, or if our business is sold or restructured.

6. International transfers

Some of our providers store or access data outside the UK, including in the European Economic Area, the United States and Canada. Where they do, we rely on UK adequacy regulations (including the UK-US Data Bridge where the provider is certified) or the UK International Data Transfer Agreement or Addendum to protect your data.

7. Cookies

We use essential cookies to run the website, your basket and checkout. With your consent we also use analytics and marketing cookies, including from Google, Meta, LinkedIn and Klaviyo, to understand how the site is used and to show and measure ads. You can accept or reject non-essential cookies in our cookie banner and change your choice at any time using the "Cookies" link at the bottom of every page.

8. How long we keep it

  • Orders and accounting records: 6 years after the end of the financial year they relate to, as required for tax.
  • Marketing data: until you unsubscribe, then we keep a record of your opt-out so we don't email you again. We remove people who have not engaged for a long time.
  • Drink Free with Foreva records: for the life of the promotion and 2 years after, so we can handle questions and check prize awards.
  • Customer service messages: up to 3 years.

9. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of your personal data;
  • ask us to correct or complete it;
  • ask us to delete it;
  • ask us to restrict or object to how we use it, including objecting to marketing at any time;
  • withdraw consent where we rely on it;
  • ask for your data in a portable format.

Email hello@forevafarmers.com and we will reply within one month. There is normally no charge.

10. Children

Our website is not aimed at children and Drink Free with Foreva is for UK residents aged 18 or over. We do not knowingly collect data from children under 13.

11. Security

We use reputable providers, access controls and encryption in transit to protect your data. No system is completely secure, so please keep your account password safe and let us know if you think your data has been misused.

12. Complaints

If you are unhappy with how we have used your data, please contact us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

13. Changes

We will update this policy when how we use data changes. The date at the top shows when it last changed. If a change is significant we will tell you by email.
